What a B2B email marketing agency does — and does not do
Lifecycle work: onboarding, nurture, renewal, win-back — all to people who opted in. Not cold outbound off a bought list; the two must never share a sending domain. Ahrefs’ guide to email marketing covers the categories. B2B changes the job, because several people decide.
Neighbouring work has its own pages: HubSpot email marketing for workflows and lifecycle stages, email marketing for small business if you are consumer-facing.
Data and segmentation
Who is on the list, how they arrived, which field decides who gets what. Programmes stall here, not in the copy.
The emails
Sequence logic, subject lines, copy, templates, build. Written for a buying committee, not a consumer.
Deliverability
Authentication, reputation, list hygiene. Invisible while it works. When it breaks, nothing else matters.
Who these B2B email marketing services are built for
A B2B email marketing strategy earns its keep when a considered sale sits behind the send: several decision-makers, weeks to signature, a CRM already recording it. With no list and no lawful basis, earn the audience first through search or paid acquisition.
A good fit

What you need
An ESP in daily use, a CRM that records deals, an opted-in list of your own. Small is fine. Borrowed is not.
Where we are wrong
No list, no lawful basis, no traffic. Email cannot manufacture an audience.
What you get in a B2B lifecycle email engagement
First an audit: list health, live sequences, authentication records, and what your ESP reports versus what it does. Then a segmentation plan, maps for every email nurture sequence, copy for each email, the build in your platform, and QA sends across the major inbox providers.
Reporting is monthly and short. Open rate is not a primary KPI: Apple Mail Privacy Protection pre-loads images and marks messages opened whether or not a human looked. We report click-to-delivered, replies, sequence-to-meeting conversion, unsubscribes and complaints — the shift Semrush’s email marketing guide argues for too. To see those beside paid and organic, add tracking and reporting.
You own copy approval, the offer and sales follow-up. We own everything in between.
Standard scope
B2B email deliverability is the whole game
A perfect sequence in the spam folder is worth nothing. We fix the foundations before the first send, including the bulk sender rules Google and Yahoo enforce: authentication, one-click unsubscribe, complaints under the published threshold.
Authentication
SPF, DKIM and DMARC published and passing. Marketing sends from a dedicated subdomain, away from the mailbox sales replies from.
Warm-up
A new or dormant domain gets a real schedule: engaged contacts first, volume rising as reputation builds.
List hygiene
Bounces suppressed, re-engagement for contacts gone quiet, sunsetting for those who stay quiet. Small and engaged beats large and stale.
“Nothing sends until authentication passes, the domain is warmed and the list is clean. No version of this gets skipped to hit a launch date.”
The Web Push sending standardGDPR-compliant email marketing, consent and data
A European agency sending European email, so this is not a footnote. Legitimate interest is available for B2B contacts at business addresses in several member states; elsewhere, and for sole traders, consent is required. Consent is the safe default; where a client relies on legitimate interest, we document the balancing test.
What we check
Where each segment came from, whether the source is recorded, whether the notice people saw matches what you now send.
Where data sits
Your ESP, your CRM, your account, under your DPA. Sub-processors are the ones you already contracted.
What we do not do
We are not lawyers and give no legal advice. We say which basis appears to apply; your counsel signs it off.
How we work, and who does the work
You talk to the person writing and building your emails — no account manager relaying questions, no junior learning on your list. Copy comes to you inside an agreed review window, and European hours keep us inside your working day.
Audit and access
You grant ESP and CRM access. The audit returns within 24 hours: what works, what is broken, what we fix first.
Foundations
Segmentation plan agreed, authentication repaired, sending subdomain configured, warm-up under way.
Sequences live
Welcome and one nurture sequence written, built, QA’d, launched. You approve every email first.
Test and expand
One variable at a time, monthly reporting, new sequences when the data justifies them.
What B2B email marketing costs
Two models: a monthly retainer while the programme runs, or a fixed-scope project with a defined end — repair deliverability, build the welcome flow, hand it back. Most start with a project and move to a retainer.
We publish no rate card, because the same brief costs very different amounts depending on the data underneath it. Your quote returns with the free audit, itemised, so you can see what to keep and what to drop.
What moves it up
More live sequences. A messy list needing hygiene before use. Multiple languages. A platform migration. Custom templates.
What brings it down
Clean data already in place. One market, one language. Staying in your current ESP. Your team doing the build.
Billed separately
Your ESP licence, paid direct to the platform so the account stays in your name. No set-up fee, no per-email charge.
Agency, freelancer or in-house hire?
All three work; they fail differently. If you should hire instead, we say so. It runs the other way too: when sequences perform and the pages behind the links do not, the fix is conversion rate optimisation, not another subject line.
A freelancer
Cheapest per hour, often excellent at the writing. The risk is coverage: one person, one holiday.
An in-house hire
Right once email is a permanent full-time job. One hire rarely covers writing, deliverability and CRM equally well.
An agency
Right when you need several disciplines part-time without adding headcount. The risk is a junior behind an account manager.
A 30-minute call with the person who would do the work
Not a sales rep, not a discovery call that becomes a slide deck. Bring ESP access or a screenshot of your last few sends and your current cadence. You leave with the three things we would fix first, buy or not.
Fair questions, straight answers
How much does a B2B email marketing agency cost?
Either a monthly retainer for an ongoing programme or a fixed-scope project with a defined end. The number moves on list size, live sequences, languages, and whether we build in your platform or migrate you. Your ESP licence is separate, paid by you direct to the platform. An itemised quote comes with the free audit.
Is cold email the same as B2B email marketing?
No. Cold outreach contacts people who never opted in; this is lifecycle email to people who did. Different tooling, a different lawful basis, and putting both on one sending domain damages the reputation your opted-in mail depends on. We do not take cold outbound work.
Can you send B2B marketing email under GDPR?
Yes, with a lawful basis. Legitimate interest is often available for B2B contacts at business addresses in some member states; in others, and for sole traders, consent is required. Either way you need a clear sender identity, a working unsubscribe, and a record of how each contact was acquired. We advise on process, not law.
What is a realistic open and click rate for B2B email?
We will not quote a benchmark. Open rate stopped being reliable when Apple Mail Privacy Protection began pre-loading images and marking messages opened whether or not anyone read them. We track click-to-delivered, replies, sequence-to-meeting conversion, unsubscribes and spam complaints, and set your baseline from your own first 60 days.
How long before email marketing produces pipeline?
Technical and data work first, first sequences live within a few weeks, a meaningful read only after one full sales cycle. If your cycle runs three months, judging at week six tells you nothing. If the pages your emails point to are the weak link, that is landing page optimisation, not email.
Do we have to change email platform to work with you?
No. We work day to day in HubSpot, Mailchimp, ActiveCampaign, Klaviyo and Brevo, and build inside whatever you run. Migration is worth recommending only when your platform cannot do what the plan needs. The account and the data stay in your name. On HubSpot, see our HubSpot email marketing page.
Who actually writes and builds the emails?
A senior email specialist — the same person who runs the account, writes the copy and builds the sequences in your ESP. No juniors, no offshore subcontracting, no account-management layer. You approve every email before it sends, inside an agreed window.
