Marketing contacts, and what HubSpot is really costing you

HubSpot bills for marketing contacts, not for every record in the CRM. The trouble is how a contact becomes one: an import toggle, a form default, a workflow built last year, a bulk action taken in a hurry. Then renewal lands in a higher tier.

The housekeeping is unglamorous and it works. Audit which automations set the flag. Return records you will never email to non-marketing. Remove hard bounces. Retire lists somebody needed once. Reach barely moves; the threshold stops creeping. If unqualified contacts arrive in volume, the fix is upstream on the landing page.

We take no commission or referral fee on your HubSpot licence. You buy it direct, and we have no stake in which tier you sit on.

Deliverability

Deliverability inside HubSpot

HubSpot runs the sending infrastructure and manages its own IP reputation. It does not authenticate your domain. A portal that has never had a connected sending domain runs on the shared default, carrying other senders’ behaviour alongside your own.

The fix is a connected sending domain with DKIM published in your DNS, so receiving servers can verify HubSpot is authorised to send as you. We configure it, verify it, and check your SPF and DMARC support it rather than contradict it.

Then behaviour: graymail suppression switched on deliberately, hard bounces removed rather than retried, re-engagement as a workflow with an end date. Before any first send we confirm no other workflow is emailing the same people.

What it costs

Three shapes. A fixed-scope portal audit and remediation: we find what is misconfigured, fix it, leave documentation. A migration, priced as a project against the inventory we produce first. Or a monthly retainer, when sending is continuous and someone senior owns the build.

What moves the number: portal size and age, how many workflows need rebuilding rather than tidying, how many languages you send in, whether templates are adapted or built new. Included either way: build, configuration, documentation, handover session. Billed separately: content in extra languages and custom object work beyond email.

Your HubSpot licence is separate again, bought direct. We publish no rates here because a quote written before seeing a portal is a guess. The real one comes back with the free audit.

Fair questions, straight answers

Do I need a HubSpot Solutions Partner to get help with HubSpot email?

No. Partner status is a commercial tier awarded on licences sold, not permission to work in a portal. It says an agency transacts HubSpot, not that its workflows are built correctly. We hold no tier or badge.

What is the difference between a marketing email and a sequence in HubSpot?

A marketing email is one-to-many, sent from Marketing Hub under subscription types. A sequence is one-to-one sales mail from a rep’s inbox, stopped on reply. Newsletters use the first, a rep chasing a demo the second. Consent handling differs, so it is a GDPR decision.

Why is my HubSpot bill going up — what are marketing contacts?

HubSpot charges by marketing contacts, not by every CRM record. Import toggles, form defaults, workflow actions and forgotten bulk updates all flag contacts as marketing, and crossing a tier threshold raises the bill until renewal. An audit shows which automations are doing it.

Can you migrate our email programme from Mailchimp or Klaviyo to HubSpot?

Yes. Contacts, unsubscribes, bounce history and simple segments carry over; automations and templates get rebuilt, because journey logic has no equivalent in HubSpot. Priced as a fixed-scope project, with the old platform sending until the new one is verified.

Do you need admin access to our HubSpot portal?

No, super admin is not required. We ask for publish rights on marketing email, edit rights on lists and workflows, and view access to domain settings. Access is logged, and removed the day the engagement ends.

Does HubSpot handle deliverability for us automatically?

Partly. HubSpot manages the sending infrastructure and its IP reputation, but domain authentication, list quality and send behaviour are yours. Without a connected sending domain, DKIM in your DNS and deliberate graymail suppression, you are on the shared default.
